Because SMS text messages arrive directly on residents' personal cell phones, business texting is strictly regulated by federal and state law, including the Telephone Consumer Protection Act (TCPA), the FCC 10DLC Regulations, and the Florida Telemarketing Act (F.S. § 501.059).
Understanding and adhering to these rules protects Gleneagles Apartments, property ownership, and administrative staff from costly fines, carrier blocks, or tenant disputes.
3. What You Can & Can't Do (The Rules)
Below is a plain-English breakdown of what message types are legally permitted and what is strictly prohibited:

- Emergency Advisories: Immediate utility shutoffs (water, electricity), fire alarm testing, severe weather precautions, or emergency repairs.
- Property Operations: Parking lot asphalt sealing/towing notices, tree trimming, building maintenance, roof work, and trash compactor schedule changes.
- Pest Control Advisories: Advance notice of scheduled exterminator inspections or spray treatments.
- Lease & Package Notices: Direct texts regarding incoming package delivery holding, scheduled HVAC filter replacements, or lease renewal deadlines.
- Community Amenities: Pool closure/reopening hours and clubhouse notices.
❌ WHAT YOU CANNOT DO (Strictly Forbidden)
- NO Commercial Advertising: Never text ads, coupons, or promotions for outside businesses, local restaurants, real estate brokers, or moving companies.
- NO Third-Party Offers: Do not promote credit cards, loan services, insurance, or paid third-party vendors to residents.
- NO Political or Personal Messages: Never send political campaign materials, personal opinions, religious appeals, or non-property announcements.

4. Quiet Hours, Opt-Outs & Sender Identification

5. How to Use the System (Step-by-Step)
At the top of the composer card, choose who should receive your message:
- 📢 All 16 Buildings: Broadcasts to the entire community (all 292 units). Use for property-wide notices (paving, major hurricane preparations, landscaping/tree trimming).
- 🏢 Selected Buildings: Click any of the 16 building chips (1 to 16) to highlight the specific buildings affected (e.g. Building 4 power shutoff).
- 👤 Select Residents: Starts completely empty with 0 residents selected. Type an apartment number or name in the search bar, or check checkboxes in the directory table below.
Click any quick template button to populate compliant wording:
- ⚡ Power Shutoff: Scheduled electrical maintenance hours.
- 🚰 Water Shutoff: Plumbing repair hours and shutoff windows.
- 🚨 Fire Alarm Test: Scheduled inspection times and intermittent alarm warnings.
- 🪲 Pest Control: Scheduled extermination treatment hours and pet safety instructions.
- ✍️ Custom / Clear: Write a custom notice with automatic compliance footer.
Most Gleneagles residents speak Spanish. Keeping the 🌐 English + Español (Bilingual) toggle active ensures your message is delivered in both languages simultaneously.
When you select a template, the building phrases automatically synchronize in both languages (e.g. in Building 3 → en el Edificio 3). If you write custom text, you can click "✨ Translate to Bilingual with AI" to automatically generate fluent Spanish.
Before broadcasting to 292 residents, type your personal cell phone number into the "Test Before Dispatching" field and click "Send Live Test". You will receive the exact SMS on your phone within 3 seconds, letting you check formatting, links, and tone before sending to residents.
Review the estimated recipient count and cost counter. When ready, click the blue "Broadcast Announcement" button. The carrier queue dispatches each message immediately and records the delivery receipt.
6. Managing the Resident Directory
The Resident Directory tab manages the tenant roster and contact information:
- Click the blue "+ Add Tenant" button.
- Type the Unit Number (e.g.
1205) — the system automatically detects and selects Building 12 for you. - Enter the resident's Full Name and 10-digit mobile phone number.
- Set Status to Opted In and click "Save Resident".
- To update phone or name: Click "Edit" next to the resident's row, update their details, and click "Save Resident".
- To permanently remove a resident/apartment from the database: Click "Edit", then click the red "🗑️ Delete Forever" button in the bottom left. Confirm the prompt to erase the record forever.
- To pause texting without deleting the unit: Click "Stop Texting" on their row. The unit remains in the roster marked as Opted Out with phone cleared.
To update multiple units at once, click "Import CSV" and upload a spreadsheet. You do not need a Building column — the system automatically derives Building 1 (units 101–124) through Building 16 (units 1601–1626) from the apartment number.
7. Inbound Calls & Text Replies
- When a resident calls the text number
(305) 614-3543: The carrier line answers automatically, plays the official studio English greeting, pauses 1 second, then plays the fluent Spanish greeting with the management office number(305) 362-3803before disconnecting. No forwarding talk-time fees occur ($0.00 cost). - When a resident texts back: The reply is instantly captured and emailed directly to luis@jdifiber.com with the resident's phone number, unit, and timestamp.
